ADMISSIONS PROCEDURE OUTLINE

CURRENT NOTIFICATIONS AND PROCEDURES:               Revised: Thursday, September 2, 2010

No visitors are allowed without a prior appointment.
No visitors are allowed to enter the campus without a valid photo ID.

Cell phones, laptops, cameras and other electronic devices are not allowed on campus and have to be handed in at the Security office at the Gate.

International applicants can apply through out the year. A wait list for international applicants has been opened for the grades that are full. The International Applicants must go through the admissions procedure and obtain an acceptance before they can be put on the waiting list. In case a current student withdraws and a seat becomes available, the applicant will be notified immediately on a merit basis.

Please note students who are studying in Pakistan at the time of admissions, enrolled in a local school are defined as ‘Local’ applicants. ‘International’ applicants are students studying outside of Pakistan, at the time of admissions, regardless of the nationalities of the applicants.

Admissions are open for all local and International applicants.
 

International Applicants can apply for a position on the wait list if a certain Grade is closed for admissions.
The applications are processed on first-come basis, therefore it is imperative to keep the timeline and limited seats in mind.

 

Applications have to be filed well in advance for the completion of application processing. It is advised for all overseas applicants to send in their application paperwork prior to making the move.

Incomplete applications will not be processed.

 ADMISSIONS INFORMATION:

Thank you for your interest in gaining further information about the procedures for obtaining admission into KAS.

The Admission’s process for all applicants (local or international) entails:

  • Completion of paperwork – (No incomplete files will be processed)
  • In House Testing
  • Classroom Evaluation (At the discretion of the Admission committee).

Interview (For Elementary grades: Parent interview; For Higher grades: Applicant Interview)

APPLICATION CHECKLIST:

A completed Application  packet will include:


a.  Main application
b.  2 Recommendations for PreSchool and Kindergarten applicants and 3 Recommendations for all other applicants.
            1.        School Counselor or Principal’s Recommendation (All applicants)

            2.        Current Math Teacher’s Recommendation. (Not applicable for PS or KG applicants)
            3.        Current English Teacher’s Recommendation (Not applicable for PS or KG applicants)

            4.        Class Teacher’s Recommendation (Only for Pre-School or Kindergarten applicants.)
(Please note that the Recommendations have to be sealed and confidential)

c.  Current year + last 2 years school records for grades 1-10(Total of 3 years)

     Current year +last 3 years school records for grades   11 &  12(Total of 4 years for grades 11 & 12)
d.  Copies of any standardized tests given e.g. ITBS, PSAT, SAT.
e.   A copy of the applicant's birth certificate and passport
f.   Copies of both parent's passports
g.  Immunization or health record of applicant.
 

Along with the paperwork, the applicant has to sit for an in-house testing. If the applicant is not available for testing, additional paperwork will include:
1/         A recently graded Math test copy.
2/         A recently graded English writing sample such as, an essay or a book report.

3/         A copy of any/all Standardized tests given.
Note:
Incomplete Applications will not be processed.

APPLICATION PROCESSING FEES:

The admissions process for 2010-2011 costs US$ 100/- or equivalent in Rupees (in cash) whichever is most convenient for you. The application processing fees has to be paid prior to consideration and is non-refundable. You may pay cash or send a Bank draft, made out to 'KARACHI AMERICAN SCHOOL' along with the rest of the paperwork. You may courier, fax or email your application, as convenient for you.

Please note that payment in cash dollars ($) is not accepted.

REGISTRATION FEES:

There is a one-time, non-refundable Registration Fee for every new student entering KAS. This fee reserves a place in class for the admitted student and is payable within 3 weeks from the date of admission.

It is:

US$ 4,500 per student – For the 2010-2011 Academic year

FACTS TO FOLLOW

Pre-School Applicants: Ages 4 and above, may apply throughout the year, whether local or international.

Cut-Off Date: The cut-off date for age for all grade levels is 1st October.

Processing: Testing and Evaluations will only take place after completion of all paperwork.

International Applicants: International Applicants are welcome to apply throughout the year.

Local Applicants: Local Applicants have a specific timeline that must be followed accordingly and is not flexible.

School Year: The Academic Year is divided into 2 Semesters or 4 Quarters.

New Academic Year: The new academic year or the first semester begins the first week of August.

Second Semester: The Second Semester begins the first week of January, immediately after the winter break.

Incomplete Application: Incomplete applications will not be processed and will be considered on hold.

Recommendations for PS, KG and Gr.1: The Classroom teacher fills out the Math & English recommendations or the Class Teachers Recommendation, outlining the child’s linguistic and analytical abilities and what he/she has learned. The Principal fills out a form for the Child's social skills for the Pre-School / Kindergarten class. Forms are available online in PDF format, along with the online application. GRADE PLACEMENT CHART AND CRITERIA

Karachi American School has a selective admissions policy. Students are admitted and placed according to standards established by the Admission’s Committee.

All applicants applying locally, age 6-18, complete a three-part admissions test: a standardized test measuring reading comprehension, and mathematical computational and problem solving skills. The applicant’s writing sample is measured against grade level norms at the Karachi American School. A review of grades at previous schools and letters of recommendation completes the process.

All applicants are screened for developmental readiness & behavior. The screening takes place on site in the     classroom and in the program they will attend.

Grade level placement is determined by the applicant’s age, educational background, in-house placement testing and evaluation, and by meeting the admissions criteria. Age appropriateness is determined by the applicant’s birthday falling on or before October 1st.

TUITION AND FEE INFORMATION FOR 2010 - 2011

TUITION POLICY:

KAS is a non-profit organization.  The school contracts for personnel and supplies a year in advance.  Annual tuition and fees for all students must therefore be paid in advance, in accordance with the established schedule. 

Tuition covers the cost of basic textbooks, classroom and art supplies, laboratory equipment and materials, physical training equipment and part of the cost of most school athletic activities.  It does not include the use of recreational facilities after school hours.

KAS bases its tuition and fees on estimated operational expenses.  If, for reasons beyond the control of KAS, a deficit should occur, the Board of Directors may vote to establish an additional per-pupil charge.  Parents are obligated to pay these additional charges on the dates set by the Board of Directors. 

 

APPLICATION FEE:

All students wishing to be considered for admission to KAS must apply using the prescribed Application Form.  The Application Form is available at the Admissions and Guidance Office or can be obtained electronically.  The cost of the form and the processing of the application is US$100 or equivalent in Rupees, and is non-refundable

 

NEW STUDENTS - REGISTRATION FEES:

There is a one-time, non-refundable Registration Fee for every new student entering KAS.  This fee of US$ 4,000 per student reserves a place in class for the admitted student and is payable within one (1) week from the date of admission.

Should this registration fee not be paid within one (1) week, the place will be given to another applicant at the discretion of the school.

METHOD OF PAYMENT:

  

US Dollar Payment: All students other than Pakistani Nationals.  

 

Foreign currency account holders in Pakistan are required to pay via a bank draft through a US bank located in the United States.  Only personal dollar checks cashable in the U.S. will be accepted.  Credit for the student’s tuition payment will be applied only when the School receives notification from the bank that funds are available.  Payment in cash is not accepted..

Rupee Payment: Only Pakistani Nationals and dual nationals holding Pakistani nationality at birth, may pay in Rupees.

Tuition and fees are established in US$ - Dollars and billed at the prevailing exchange rate (kerb / market buying rate) on the date when tuition is paid.

Payment of Rupees may be by personal check or pay order, but will be credited only when KAS receives notification from the bank that funds are available.  Payment in cash is not accepted.

WIRE TRANSFER:

For wire transfers please contact the Business Office directly for details. Add $40 for Bank charges, and make sure to forward a copy of your bank remittance advice to KAS, Business Office to ensure your payment is credited correctly.

 

 

 

TUITION PAYMENT SCHEDULE:

A)        Annual Tuition and Fees paid in US$ - Dollars

           Annual tuition fee for returning students of 70% must be paid in full no later than May 14th.

Second installment to be paid by September 15th.

 Students who enroll or are accepted after May 15th for the subsequent school year must make the payment at the time of acceptance, in accordance with the established schedule.

 Fees not paid by the due date will be subject to a 2 % penalty per month.

 

B)        Annual Tuition and Fees paid in Rupees

If parents wish to pay annual tuition and fees in one installment in rupees or US$,  they may pay the full amount by May 14th at the prevailing exchange rate of the day of payment.

Payments can also be made in two installments, the first for 70% of the tuition by May 14th of the current school year, and the second for 30% of the tuition from September 15th onwards.

Fees not paid by the due date will be subject to a 2% penalty per month.

The Rupee – Dollar exchange rate will be based at the prevailing exchange rate (kerb rate/ market rate) on the day when the respective 1st and 2nd installments are paid.

  

1)                 First installment

            The invoice for the first installment will be mailed to parents by April 10th.  Payments are accepted at

             the Business Office until May 14th.

 Checks and pay orders are to be made to: “Karachi American School”.

2)                 Second Installment

Similar to the procedures regarding the first installment, the invoice for the second installment will be mailed to parents by August  21st.   Payments are accepted at the Business Office from September 15th  until September 30th.

REFUND POLICY:

 

A)         Refund of Registration Fee

              Once a student has been admitted to the KAS and has been guaranteed a place, or once a student has

              actually attended school, the registration fee will not be refunded.

B)         Refund of Tuition Fee

1)         If written notification from a parent/member of the Society is received that a student will be withdrawn before the first day of the semester, a full refund of tuition for that semester will be given.

2)          If a parent/member of the Society notifies the school in writing of their intent to withdraw a student within the first 30 calendar days of a semester, 50% of the tuition for that semester will be refunded.  If a student is withdrawn after 30 calendar days from the beginning of the semester, no refund of tuition will be granted for that semester.

             3)         The above also applies to a student who has been admitted and enrolled, but does not attend classes.

4)         All refunds of tuition fees are made directly back to the individuals or company from which the funds were received.  Refunds are made in the currency of the original payment.

5)         Should a situation occur where the school must be closed due to factors beyond its control, the Board of Directors will determine if refund of tuition is applicable.

 6)         Should the school need to call for a withdrawal of a student during a semester, the refund of tuition will be applicable as under Board Policy 6.4034.

OTHER FEES, CHARGES AND PENALTIES:

SERVICE CHARGES:

 

Any additional financial costs for wire transfers, collecting outstation checks / drafts, charges on returned checks, etc are the responsibility of the parents.
 

PENALTIES:

Parents/members of the Society are expected to pay tuition and / or fees on time.

Tuition and/or fees not paid by the due date will be subject to a 2 % service charge per month.  This financial charge will be calculated from the day after due date of payment and will cease on the day that school receives notification that the transfer payment of funds has taken place.

Non-payment of tuition and/or fees at the beginning of school will result in denying the student the privilege of being seated in class. If a student withdraws with a balance due to the school, the student’s records are not released until all arrears, including any outstanding late fees, are paid

 

RESERVED POSITION:

Full annual tuition and fees must be paid in advance by students wishing to remain enrolled for the following year.

Should the student not be physically present in class for the period enrolled and paid for, his/her seat may be yielded to another applicant who will be present in class.  In such a case, only the balance of fees will be refunded from the date when KAS receives written notification that the student will definitely not return.

If a student leaves KAS without having paid full annual tuition and fees in advance, readmission will not be guaranteed. 

Additionally, the student will be subject to the registration fee if he/she wishes to re-enroll.

Should a delay in enrollment be requested by the parents/a member of the Society after initial acceptance of the student at KAS, the reserved place will be honored only if full tuition is paid in advance.
